AI productivity workflow for small teams

Turn shared notes into reviewed actions without losing ownership or context.

Map one recurring handoff

Choose a repeated process such as turning meeting notes into an action list. Identify the input, reviewer, destination, and definition of done. Do not automate an ambiguous process until the team agrees on how it should work.

Separate extraction from decisions

AI can draft a list from notes, but it should not invent owners or deadlines. Mark missing information and ask the relevant people to confirm. Preserve a link to the original context so disagreements can be resolved.

Add automation gradually

Start with a manual draft-and-review step. If connecting apps, use only the permissions required and test with non-sensitive sample records. Define what happens on duplicate inputs or failed steps before relying on the automation.

Measure correction work

Track how often someone changes an owner, date, or task. If corrections are frequent, improve the meeting notes or the extraction instructions. A faster first draft is not a productivity gain if it causes downstream confusion.

Try it on your own work

Convert one set of approved meeting notes into a reviewed action list, leaving uncertain fields explicitly unassigned.
